1. Scope
This Privacy Policy explains how Team Feeder ("TeamFeeder," "we," "us," or "our") handles personal information when people visit our public website, create or use an account, participate in a park, school, team, season, tournament, or event, communicate through the service, upload documents or media, use scoring and analytics tools, or interact with related TeamFeeder services.
An organization—such as a school, park, league, or independent team—may separately determine how information in its workspace is used. In those situations, the organization's own policies may also apply, and questions about its decisions should be directed to that organization.
2. Information we collect
Information you provide
- Account and contact details, including name, email address, phone number, password credentials, role, organization affiliation, and verification status.
- Player and family information, including birthdate, age, grade, school, address, zoning results, guardian relationships, emergency contacts, medical or safety notes, jersey number, positions, interests, eligibility, and participation history.
- Coach, volunteer, and staff information, including coaching focus and category, certifications, availability, background-check or qualification status when supplied, assigned teams, and organization access.
- Registration, roster, document, payment, discount, waitlist, equipment, acknowledgement, schedule, attendance, volunteer, scoring, statistic, and tournament information.
- Messages, notes, forms, files, photographs, livestreams, videos, video links, coach feedback, player comments, and instructions submitted for automated or human analysis.
- Support requests, surveys, preferences, consent choices, and other information you choose to provide.
Information collected automatically
- Device, browser, IP address, approximate region, operating system, app version, language, dates and times of activity, pages and records viewed, clicks, searches, feature usage, and error or security logs.
- For visitors to our public website, a random first-party visitor identifier, approximate IP-derived location, referring domain, campaign attribution, landing page, navigation path, device information, and registration-interest events. We do not collect public form values, passwords, messages, or uploaded content through visitor analytics.
- Authentication, session, access, impersonation, audit, message-delivery, and verification events used to protect accounts and diagnose service issues.
- Location information only when you allow device-location access or request directions, mapping, zoning, attendance-area, or nearby-program features.
Information from others
We may receive information from guardians, coaches, teammates, organization administrators, registration imports, public school or athletics sources, mapping and zoning providers, payment processors, communications providers, identity providers, and integrations authorized by a user or organization.
3. How we use information
- Create, verify, secure, and administer accounts and organization access.
- Operate registration, eligibility, zoning, rostering, invitations, waitlists, schedules, calendars, communications, documents, payments, equipment, volunteers, tournaments, scoring, statistics, recruiting, and feeder-pipeline features.
- Connect guardians with players and provide appropriate organization, coach, team, family, and player views.
- Deliver verification codes, reminders, invitations, alerts, transactional messages, and communications selected by authorized users.
- Process uploaded media, create clips, organize plays or at-bats, and generate AI-assisted summaries, observations, statistics, or coaching analysis when requested.
- Measure service usage, improve navigation and features, prevent duplicate accounts, troubleshoot errors, protect safety, detect fraud or misuse, and maintain audit records.
- Comply with law, enforce our terms, resolve disputes, and protect TeamFeeder, organizations, users, and the public.
5. SMS messaging and consent
TeamFeeder offers optional recurring text notifications for account, registration, invitation, roster, schedule, document, payment, and team-operation updates. On the public registration form, the SMS consent checkbox is separate from acceptance of our Terms and Privacy Policy and is unchecked by default. A person may create an account without selecting it.
Message frequency varies, up to 10 messages per month. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. We keep a record of the consent choice, disclosure version, time, and source of an affirmative opt-in. We use mobile information and SMS consent only to provide and support requested TeamFeeder communications. We do not share mobile information or SMS consent with third parties or affiliates for marketing or promotional purposes.
5. Children, players, and guardians
TeamFeeder supports youth sports and is designed to involve parents and guardians. A child under 13 may not create or control an independent account. The account and child profile must be created or managed by a parent, legal guardian, or an organization authorized to act with appropriate consent. Users ages 13 through 17 may use TeamFeeder only with permission and supervision from a parent or legal guardian where required.
Guardians and authorized organizations may review and correct child information, adjust visibility, manage permissions, or request deletion. We limit children's information to sports participation, safety, administration, and requested development features. We do not knowingly use children's information for targeted advertising. If we learn that a child's information was collected without required authorization, we will restrict or delete it as appropriate.
6. Video, livestream, and AI-assisted analysis
When an authorized user uploads, links, or livestreams media, TeamFeeder may store the media and send relevant portions, frames, audio, prompts, roster context, or event information to service providers that help generate clips, transcripts, play logs, statistics, and analysis. Automated results may be incomplete or inaccurate and should be reviewed by a qualified person.
Video owners select an available audience such as Only Me, My Family, My Teams, My Coaches, My Trainers, or Everyone. AI analysis associated with a player-uploaded video is limited to that player and the player's authorized guardians unless they choose or authorize broader sharing. TeamFeeder does not intentionally create facial-recognition identities or biometric templates from sports media unless a separate feature provides clear notice and obtains any consent required by law.
7. Retention
We retain information while an account, team, season, organization, legal obligation, safety need, dispute, or legitimate operational purpose remains active. Retention varies by record type. Full IP addresses attached to anonymous public-site analytics are automatically removed after 30 days. The random first-party visitor identifier may remain on a device for up to 90 days, while de-identified visit, approximate location, referral, and conversion trends may be retained longer for internal service measurement. Security and audit logs may be kept for a limited period; team and player history may be retained longer to provide continuity; financial and transaction records may be retained as required by law; and backups may remain until they cycle out. When information is no longer needed, we delete, de-identify, or securely isolate it.
8. Security
We use administrative, technical, and organizational safeguards designed to protect information, including authentication, role-based access, scoped organization workspaces, encryption in transit, protected storage, audit records, and access monitoring. No online service can guarantee absolute security. Users should protect their credentials, use unique passwords, review account access, and report suspected misuse promptly.
9. Your choices and privacy rights
Depending on your location and relationship to the data, you may request access, correction, deletion, portability, restriction, or information about how personal data is processed. You may update many profile fields and visibility choices in TeamFeeder. Guardians may make requests for linked children. Organization-managed records may require the organization to review the request.
You can opt out of optional communications through available settings or message instructions. Operational messages—such as account security, registration, schedule, safety, and transaction notices—may continue while you use the service. Device permissions can be changed in your browser or operating-system settings.
To make a privacy request, email privacy@teamfeeder.net. We may verify identity and authority before fulfilling a request. Authorized agents may be required to provide written permission. We will not discriminate against a person for exercising applicable privacy rights.
10. Location and transfers
TeamFeeder is operated for users in the United States. Information may be processed in the United States or other locations where our providers operate. Where required, we use appropriate contractual and legal safeguards for cross-border processing.
11. Changes to this policy
We may update this policy as TeamFeeder evolves. We will post the revised policy with a new effective date and provide additional notice when a material change requires it. Continued use after an update means the revised policy applies, subject to any consent required by law.
